England: AI transcription tool saves probation officers time

An AI transcription tool used by probation officers in England and Wales could save an estimated 450,000 staff hours a year, according to a National Audit Office (NAO) case study.

Justice Transcribe, developed by the Ministry of Justice and HM Prison & Probation Service, records notes of meetings between probation officers and people under supervision.

Staff reported spending less time writing notes, producing better-quality records and engaging more effectively with those they supervise.

The tool was tested and piloted in 2025 before being rolled out to all probation officers between February and March 2026. The MoJ is exploring its use in prisons, courts and policing.

The NAO’s report highlights lessons for public bodies introducing similar technology, including involving frontline staff, testing tools before wider deployment and using feedback to secure lasting productivity benefits.

NAO head Gareth Davies said: “Improving productivity is essential if public services are to meet increasing demand with limited resources.

“This case study highlights practical lessons to help organisations identify opportunities for improvement, implement change successfully and realise productivity benefits by saving staff time.”
